Privacy Policy
Effective July 29, 2026. This page is maintained by Salesmotion, Inc. to explain how the Salesmotion product and website (together, the "Service") handle personal information.
1. Who we are
The Service is operated by Salesmotion, Inc. ("Salesmotion", "we", "us"), a Delaware corporation. Salesmotion is provided to organisations ("your employer" or "Tenant") whose administrators control access. Where data originates from your employer's systems — Google Workspace, Salesforce, or Gong — we process it on your employer's behalf and under their instructions. 2. Information we collect
We collect the following categories of personal information:
- Account information — name, work email address, company name, role, and, where you provide it, phone number. We receive this when you request access, sign in, or contact us.
- Authentication data — if you sign in with Google, we receive your name, email address, and Google account identifier through Google Sign-In. We store your name and email address.
- Gmail data — your email messages, so the Service can surface sales context and carry out the inbox actions you approve: sending a reply, starring or flagging, archiving, and moving a message to Trash.
- Google Calendar data — your calendar list and calendar events, to track meetings and support the scheduling actions you approve.
- Salesforce CRM data — opportunities, contacts, accounts, and activities from your employer's Salesforce org.
- Gong conversation data — call records, transcripts, and related metadata from your employer's Gong account.
- Content you submit — messages, form entries, notes, and any files or text you send to us or upload to the Service.
- Usage and device data — log data such as IP address, browser and operating system, pages viewed, and approximate location derived from IP.
- Cookies — strictly necessary cookies to keep you signed in and to secure the Service, and, where permitted, analytics cookies to understand how the Service is used.
3. How we use information
- To provide, maintain, and improve the Service.
- To authenticate you and secure your account.
- To respond to enquiries, deliver requested materials, and provide customer support.
- To generate the deal, activity, forecasting, and coordination features that are the purpose of the Service.
- To detect, prevent, and address fraud, abuse, security, and technical issues.
- To meet legal, regulatory, and contractual obligations.
Where AI features process your data — for example classifying your inbox, or drafting a reply for your review — that processing runs on Google Cloud infrastructure. We do not transfer your Google data to non-Google AI providers. We do not sell your data, use it for advertising, or use it to train generalised AI/ML models.
4. Google user data
Salesmotion's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
- We request only the OAuth scopes needed to deliver features you enable, and those scopes are displayed to you at the moment of consent.
- We use Google user data only to provide or improve user-facing features that are prominent in the Salesmotion interface.
- We do not transfer Google user data to third parties except as necessary to provide or improve those user-facing features, to comply with applicable law, or as part of a merger, acquisition, or sale of assets — and in that last case only after obtaining your explicit prior consent.
- We do not use Google user data for advertising.
- We do not use Google user data to train generalised AI/ML models.
- We do not allow humans to read your Google user data unless we have your affirmative agreement to view specific messages, it is necessary for security purposes such as investigating abuse, it is required to comply with applicable law, or the data has been aggregated and anonymised. Where any member of our staff needs access to a customer workspace, that access requires an individually approved, time-boxed grant that is recorded in an append-only audit log.
5. How we share information
We share personal information only in these situations:
- Service providers — vetted vendors that host our infrastructure, run analytics, send transactional email, or provide customer support, bound by contractual confidentiality and data-processing obligations.
- Your organisation — where you use Salesmotion through your employer, your account and product data sit within the workspace your employer controls, and are accessible to the administrator responsible for it.
- Legal and safety — where required by law, court order, or to protect the rights, property, or safety of users, the public, or Salesmotion.
- Corporate transactions — in connection with a merger, acquisition, financing, reorganisation, or sale of assets. Google user data is transferred in such a transaction only with your explicit prior consent.
We do not sell personal information.
6. How we store and protect it
- Data is encrypted in transit and at rest.
- Google refresh tokens are encrypted using Google Cloud KMS; the plaintext token is never stored in our database.
- All data is strictly scoped to your employer's tenant — no data from one organisation is accessible to another. This is enforced at the database level with row-level security, not only in application code.
- We apply access controls and least-privilege engineering practices, and staff access to customer workspaces is time-boxed and audited.
No method of transmission or storage is perfectly secure. You can report a suspected vulnerability to privacy@sales-motion.com.
7. Data retention and deletion
We keep personal information for as long as your employer's account is active or as needed to provide the Service, to comply with our legal obligations, to resolve disputes, and to enforce our agreements.
Disconnecting your Google account stops new data collection. Data synced before you disconnect remains part of your employer's workspace — so deal and account history stays intact — until it is deleted on request or your employer's account ends.
Upon termination of your employer's account, or upon a verified deletion request, we delete the associated data within 30 days, except where retention is required by law. When information is no longer needed we delete or de-identify it.
8. Your choices and rights
- Disconnect Google — go to Settings → Integrations → Disconnect at any time. Salesmotion immediately stops accessing your Google data and invalidates its stored credential. You can also revoke Salesmotion's access directly from your Google Account permissions page. Data already synced to your employer's workspace is retained as described in Section 7 and deleted on request.
- Access, correction, deletion, and export — email privacy@sales-motion.com and we will respond within the time required by applicable law, and in any case honour verified deletion requests within 30 days, subject to your employer's instructions and any legal retention obligations.
- Marketing communications — you can opt out of non-transactional email at any time using the link in the footer of the message.
- Cookies — you can control cookies through your browser settings; some parts of the Service may not function without strictly necessary cookies.
- Access to the Service is controlled by your employer, who may also make requests on your behalf.
9. International transfers
Personal information may be processed in countries other than your own, including the United States. Where required, we use appropriate safeguards such as the European Commission's Standard Contractual Clauses.
10. Children
The Service is not directed to children under 16 and we do not knowingly collect personal information from them.
11. Changes to this policy
We may update this policy from time to time. Material changes will be signalled by updating the "Effective" date above and, where appropriate, by an in-product notice or email.
